Real projects, told through the process they changed
No glossy slides: the starting situation, what we did and what changed in the way people work. Because that is where the result of an IT project is measured.
The before, the work and what changed.
For confidentiality we do not name our clients. Every case is a real project run by the Aesir team from the initial analysis through to ongoing management, and behind them sits an archive of more than 1,400 conversations with Italian businesses.
Commercial vehicle dealership: from paper to the digital case file
Sales and after-sales paperwork was scattered across paper archives, shared folders and mailboxes. Every search pulled in several people across several sites.
What we did. We mapped the flows with the sales and workshop teams, then introduced a document platform with one file per case and approval workflows integrated with the ERP.
Manufacturer: one ERP for finance, logistics and production
Accounting, warehouse and production ran on separate tools: daily double entry and figures that never matched between departments.
What we did. Analysis of the administrative and production processes, configuration of the Business Experience ERP, migration of historical data and department-by-department training.
Multi-site SME: from the office server room to a managed private cloud
Ageing on-site servers, backups that were never verified and business continuity left to luck: a single failure would have stopped every site.
What we did. Infrastructure assessment, a planned migration to the Aesir private cloud, a business continuity plan with geographic replication and immutable backups, plus ongoing management.
B2B sales group: getting the pipeline out of the reps’ inboxes
Quotes and deals lived in individual salespeoples’ email: no overall view, forgotten follow-ups and handovers that were impossible.
What we did. We defined the sales process with the leadership team, configured the CRM, integrated it with the ERP and email, and supported the sales team through adoption.
Growing company: cash forecasting without manual spreadsheets
The financial position was rebuilt by hand every week from bank statements and payment schedules: a snapshot always behind reality.
What we did. We connected the bank accounts and the ERP to the treasury platform and built the forecasts and scenarios together with the finance team.
Services company: AI that reads and classifies incoming documents
Every document received was opened, interpreted and sorted by hand: a repetitive task that absorbed hours from the most experienced people.
What we did. Identification of the use case, training on the company’s own document base and integration into existing workflows inside a protected perimeter.
Multi-site trading company: phone, chat and CRM on one platform
A traditional phone system at each site, calls missed while people travelled and no record of conversations: what was said stayed in the head of whoever answered.
What we did. Migration to the Wildix unified communications platform: telephony, chat and video conferencing in one environment, integrated with the company CRM.
B2B industrial group: sales forecasts built on data, not on gut feel
The sales forecast was compiled by hand by area managers in spreadsheets, with different numbers at every board meeting.
What we did. Introduction of SugarAI as the group CRM platform, integrated with the ERP, with a structured pipeline and predictive analysis on opportunities.
Services company: customer care that answers straight away, even at 10pm
Dozens of identical enquiries every day: case status, opening hours, documents to send. The team answered everything by hand, and waiting times kept growing.
What we did. Design of a conversational AI agent trained on the company knowledge base, integrated with internal systems and live across the digital channels.
Manufacturer: off an end-of-life virtualisation platform without stopping production
A long-standing virtualisation platform with sharply rising renewal costs and hardware close to end of support: renewing on the new terms was not sustainable.
What we did. Design of a Nutanix hyperconverged infrastructure, migration of the virtual machines in waves and hands-on support for the internal team.
SME after an attempted attack: from fear to a governed perimeter
A phishing attempt that came close to succeeding exposed ungoverned access, weak passwords and no visibility over what was happening on endpoints and email.
What we did. Security assessment, endpoint protection, identity and access management, immutable backup and continuous monitoring delivered as an MSSP service.
Growing company: holiday, leave and payslips out of email
Holiday requests by email, payslips handed over in person, training deadlines in spreadsheets: the HR office spent its days chasing.
What we did. Introduction of an HR platform with an employee portal: digital requests and approvals, secure payslip distribution, attendance and deadlines in one place.
Do you recognise your own situation in one of these?
Your process probably resembles one of them more closely than you think. Tell us about it and we will tell you what can be achieved.
